Become a Member of the AV PTA Executive Board


Interested in becoming even more involved?  Why not consider an Executive Board position?   The AV PTA Executive Board meets once a month (two weeks prior to the General Meeting) to discuss and plan our many programs and events.  One way to learn about the board positions and responsibilities is to attend our General PTA meetings.  Members are also welcome to attend one of our Board meetings as a guest. Another good way to become familiar with our organizational structure and procedures is to chair an event.  We encourage new participants and value new perspectives.  All are welcome! 


PRESIDENT


Leads the PTA toward specific goals chosen by the members; helps set the vision for the PTA; appoints committee and event chairs; works closely with the Principal to insure the PTA is meeting school needs and goals; creates agendas for and presides at Executive Board and General Membership meetings; reviews all fliers and written materials before distribution; works with the Treasurer and Executive Board on developing and implementing budget; signs all PTA checks; attends South Pasadena PTA Council monthly meeting; serves as ex-officio member of all committees and oversees work of the committees and event chairs; trouble-shoots in all areas of PTA/school involvement.


EXECUTIVE VICE PRESIDENT


Serves as primary aid to the President; performs the duties of the President in his/her absence or disability; helps out wherever needed with PTA events and activities.


1st VICE PRESIDENT, PROGRAMS AND ASSEMBLIES


Works with the Principal and teachers to schedule enrichment school assemblies for students (approximately 1 per month); meets with the Principal to decide assembly dates; makes all contacts with outside assembly presenting groups.


2nd VICE PRESIDENT, WAYS AND MEANS (FUNDRAISING)


Coordinates all major school fundraisers; researches fundraising ideas; works with fundraising companies to secure the best situation for the school; works with Treasurer to coordinate volunteers to count money and distribute fundraising products.


3rd VICE PRESIDENT, VOLUNTEER COORDINATOR


Updates Volunteer Survey and distributes it to parents at Registration Round-Up; works at Registration Round-Up to sign up Room Parents for each class; organizes and trains volunteers to serve as Room Parents; compiles volunteer contact information from the Volunteer Surveys and distributes it to each Committee Chair and Event Coordinator.


4th VICE PRESIDENT, SCRIP COORDINATOR


Orders, purchases and sells paper scrip through “on-demand” program; signs people up for e-Scrip program; monitors e-Scrip records of payment; coordinates with Treasurer to deposit scrip funds; markets both programs to families.


5th VICE PRESIDENT, WISH NIGHT COORDINATOR


Prepares and distributes Wish Night packets (cover letter, Wish lists, contribution form); coordinates with the Treasurer, Financial Secretary and other officer to count and document all Wish Night donations; calculates budgets for all recipients/teachers; communicates with recipients/teachers regarding budget and spending deadline; processes all Wish Night requests for reimbursement or payment on a weekly basis and forwards such requests to Treasurer for processing.


6th VICE PRESIDENT, COMMUNICATIONS


Coordinates preparation of Wildcat Updates and AV Gram.  Responsible for publicizing PTA events.  Assists generally with keeping our school community informed.


RECORDING SECRETARY


Keeps minutes of Executive Board and General Membership meetings; distributes minutes in a timely manner; signs all warrants for check payments; keeps a current list of all PTA members; keeps a current copy of the by-laws and standing rules.


TREASURER


Handles all financial record-keeping; receives all payment vouchers and writes all checks for payment of bills; receives all cash and other income and makes bank deposits; chairs the budget committee; remits PTA membership dues and other fees to PTA council; makes a monthly financial report to the membership; keeps the membership informed of all items relating to the PTA finances; works with other officers and event coordinators to count funds; insures proper tax information is given to accountant for annual tax filing.


FINANCIAL SECRETARY


Works closely with the Treasurer on financial record keeping, bill paying and reports; helps with bank deposits.


AUDITOR


Audits the books and financial records semi-annually; prepares a mid-year and year-end audit report and presents them to the membership.


HISTORIAN


Keeps record of all volunteer hours; takes photos at school events; compiles photos and other keepsakes into an album; assists President with the compilation and preparation of the PTA’s annual report.


PARLIAMENTARIAN


Is familiar with Robert’s Rules of Order Newly Revised; attends all meetings of the Executive Board and General Membership and gives necessary advice in parliamentary procedure when requested; calls the first meeting of the Nominating Committee and instructs members in nominating procedures; chairs the by-laws committee and reviews by-laws and standing rules.
